Chapter 100. Individual Membership Applications

Overview

The Individual Membership Applications tool allows administratorstool allows administrators to view and moderate membership applications that are pending moderation and approve or deny these applications in bulk or singly.

Your organization may have opted not send email for applications that are denied. To check on this, use the View Email Schedule tool.

There are two tools that allow you to manage individual membership applications. Use this tool to moderate applications in bulk, or click the Manage Application link for a specific application to manage the application singly through the Manage an Individual Membership Application tool. You must use the Manage an Individual Membership Application tool if you want to edit the application or send customized email to an applicant.

Use the Individual Membership Applications tool to:

  • Approve or deny individual membership applications in bulk.

  • Access the Manage an Individual Membership Application tool if you want to view detailed information about a specific applicant, edit the application or send a customized email notification.

How to Use the Individual Membership Applications tool

Search

Set one or more optional search fields to define your search criteria. If you set more than one field, the search retrieves only those applicants that match ALL your criteria.

Options

User

If you wish to moderate a specific applicant, select this user from the list.

Membership Type

Set this value to search for a particular membership type. If set to the default value, 'Any Membership Type', the results will not be restricted by membership type.

Membership State

Set this value to search for memberships in a specific pending membership state. If set to the default value, 'Any Pending State', the search returns all pending applications that meet the other search criteria.

Select

Applications that meet your search criteria are displayed.

The list contains the following fields:

Applicant

The name of the individual applying for membership.

Manage Application

A link to a tool that will allow you to manage this application individually.

Membership Type

The type of membership for which this individual is applying.

Membership State

The state of this membership application.

This is one of the following pending states:

Pending Bill Payment

A membership is in this pending state because the membership fee has not yet been paid. This only applies to fee-based membership types on sites where Kavi® Billing is installed.

Pending Moderation

A membership is in the pending state because it is awaiting moderation. This only applies to moderated membership types.

Pending Start Date

A membership is in this pending state because it is awaiting its start date.

Pending Prerequisites

A membership is in this pending state because prerequisite conditions have not all been met. This only applies to membership types with prerequisites, such as legal forms that must be filed with the organization before the membership can be approved.

Last Modified

A datestamp updated the last time the user's information changed.

Approve

Click this option to approve an application. This application will proceed to the next step in the workflow, so it may become current or may remain in the pending state.

Deny

Click this option to deny an application. This application will be deleted.

You have two options for managing these applications:

Moderate applications in bulk

To moderate multiple applications, click 'Approve' or 'Deny' for each applicant you wish to moderate, then click Preview.

Note

Applications denied through this bulk moderation process are immediately deleted, and automated email notification will not be sent. If you wish to send an automated email, use the Manage Application link.

Manage an application individually

To manage a single application, click the Manage Application link.

Note

Use this link if you wish to send automated email notification or edit the applicant's record.

Moderate

All pending applications retrieved in your search are redisplayed according to the type of action you selected:

  • Approve These Applications

  • Deny These Applications

  • Ignore These Applications

If you are satisfied that these applications have been moderated correctly, click Moderate.

Done

You've just moderated a set of individual membership applications. Click Moderate Another Set if there are other individual membership applications you wish to moderate.
